Despite taking record management seriously, most companies still struggle with some key aspects.
Overall, 73% of executive boards have passed records management policies that apply to all employees, according to a recent survey by ARMA International of 841 member organizations. Specifically, those policies cover:
- physical records (88%)
- information security (72%)
- privacy (72%)
- legal holds (71%), and
- e-mail and other electronic records (71%).
But even with those policies in place, most businesses don’t feel prepared to handle one of the biggest issues in records management today: legal discovery. Only 25% of execs are confident their organizations could adequately respond to a discovery request.
Electronic discovery gives companies the most trouble: 42% said their overall records retention policies are effective, but only 19% said the same about electronic records.
One solution: more training. Only 25% of companies train individual employees on how to properly and safely maintain records. And of those that do, many neglect to cover new forms of electronic records, such as instant messages, voice mail, removable storage devices and text messages.
